Privacy Policy – Gaia Wellness Connexion

This policy explains what personal data Gaia Wellness Connexion (GWC) collects, why we collect it, how we use and protect it, and what rights you have over it.

GWC is operated by Gaia Wellness Pte Ltd, a Singapore-registered company. This policy is governed by Singapore’s Personal Data Protection Act 2012 (PDPA). If you have questions about how your data is handled, contact us at the details in Section 9.

Section 01

What data we collect and why

We only collect data that is needed to deliver the service you have requested or signed up for. The table below sets out each point of collection, what data is gathered, and the purpose.

Country of birth is used for timezone detection in the life path calculation. The 27 question responses are entered into the UCMHP platform and then deleted from our systems. A copy of your responses is emailed to you before deletion.
UCMHP Brief Report (intake form) First and last name, email address, phone number, date of birth, time of birth (if available), gender, country of birth, twin or triplet status, parents’ dates of birth (for twins and triplets only) To generate a shorter on-demand UCMHP character profile. No behavioural questionnaire is required for this report. Country of birth is used for timezone detection.
Know Thyself and Brief Report (payment) Payment card details, billing name and address Payment processing only. Card details are handled entirely by Stripe and are never stored by GWC.
Discovery Session enquiry (optional opt-in) No additional data collected at this stage. We use the name and email already provided in your intake form to follow up. To arrange a complimentary or paid discovery session if you have expressed interest.
Email list (Stay Connected sign-up) Email address To send occasional updates about GWC content, tools, and services. You can unsubscribe at any time.
A note on your profiling data. The date of birth, time of birth, gender, country of birth, and parents’ dates of birth collected for our reports are sensitive personal inputs used only to generate your profile. The 27 behavioural question responses collected for the Know Thyself E-Report are entered into the UCMHP platform by our practitioner, after which they are deleted from GWC’s systems. You will receive a copy of your responses by email before deletion. Parents’ dates of birth provided for twin or triplet differentiation are not retained after your report is generated. None of this data is shared with third parties for marketing or profiling purposes.
Section 02

Legal basis for processing

Under Singapore’s PDPA, we rely on your consent as the basis for collecting and using your personal data. Consent is given when you:

submit your details via a Tally form for the Calculator or Career Assessment results;
complete the checkout and intake form for the Know Thyself E-Report;
or sign up to the GWC mailing list.

You may withdraw consent at any time by contacting us. Where withdrawal of consent would prevent us from completing a service you have paid for, we will discuss the implications with you before acting.

Section 03

Who we share your data with

We do not sell your data. We do not share it with advertisers. Your data is only passed to the third-party services listed below, which are necessary to deliver GWC’s tools and services. Each processor is bound by their own data protection commitments.

Some of the above processors are located outside Singapore. Where this is the case, we take steps to ensure that the transfer is done in accordance with the PDPA’s requirements on overseas data transfers.

Section 04

How long we keep your data

We keep your data only for as long as it is needed for the purpose it was collected, or as required by law.

Section 05

Cookies and tracking

GWC does not use Google Analytics, Meta Pixel, or any marketing tracking technology. We do not build advertising profiles.

The following functional cookies may be set by third-party services when you interact with GWC tools:

These cookies are strictly functional. They are not used to track you across other websites or build any profile of your behaviour.

Section 06

How we protect your data

We take reasonable steps to protect your personal data from unauthorised access, disclosure, or loss. These measures include:

Secure connections
All data transmitted to and from gwcdev.com and gaiawellness.biz is encrypted via HTTPS.
Payment security
Card details are handled entirely by Stripe, which is PCI-DSS compliant. GWC never sees or stores your full card number.
Access controls
Access to personal data held in our systems is limited to the practitioner delivering your service.
AI processing
Where AI tools are used to assist in preparing your report, we use Anthropic’s Claude (consumer Pro plan) with the model training setting disabled. Under Anthropic’s consumer terms, when this setting is off, your data is not used to train AI models and is retained for up to 30 days before deletion. We do not share client data with any AI provider beyond what is necessary to prepare your report. We recommend you do not include information in your intake form beyond what is asked.
Section 07

Your rights under PDPA

Under Singapore’s Personal Data Protection Act, you have the following rights regarding your personal data held by GWC.

Right to access
You can request a copy of the personal data GWC holds about you and information about how it has been used.
Right to correction
If the data we hold is inaccurate or incomplete, you can ask us to correct it.
Right to withdraw consent
You can withdraw your consent at any time. This will not affect the lawfulness of processing that happened before you withdrew consent.
Right to data portability
You can request your data in a commonly used, machine-readable format where technically feasible.
Right to erasure
You can ask us to delete your personal data. We will do so unless retention is required by law (for example, payment records under accounting regulations) or needed to complete a service you have purchased.

To exercise any of these rights, contact us using the details in Section 9. We will respond within 30 days. We do not charge a fee for reasonable requests.

Section 08

Changes to this policy

We may update this policy from time to time as our services or legal obligations change. When we do, we will update the “Last updated” date at the top of this page. If changes are significant, we will notify active subscribers by email.

Your continued use of GWC’s tools or services after any update constitutes acceptance of the revised policy.
